September Registrations at a Football Academy: Age Groups, Trial Sessions and Waiting Lists

A practical plan for the September rush: set the age groups first, give parents one registration link, run two-session trials, and keep a waiting list that does not get forgotten.

September Registrations at a Football Academy: Age Groups, Trial Sessions and Waiting Lists

Quick summary

  • Decide the age groups by year of birth before registrations open.
  • One registration link for every family — QR code at the pitch.
  • Two trial sessions, then an answer; the waiting list lives in the system, not in a notebook.
Why this matters for owners: A good trial session still becomes a lost registration when the follow-up lives in a coach's memory.

September is the month a football academy wins or loses its year. Groups fill in three weeks, the phone does not stop, and every trial player is a registration that either happens now or never. The plan below is what the academies that stay full do.

Decide the groups before you open the door: a parent who hears "we will see where he fits" calls the next academy.

1) Set the age groups by year of birth before registrations open

U8, U10, U12, U14, U16 — by year of birth, with a coach, a pitch and two or three session slots each. Publish them. A family should be able to see the exact training times for their child's year before they ask.

2) One registration link for every family

Print the link as a QR code on the fence and on the flyer. The parent fills in the child, the year of birth, a phone number and the medical note; the academy gets a tidy queue instead of fifteen half-finished conversations.

3) Trials: two sessions, then an answer

A trial player attends two sessions in the right group, free or at a flat trial price, and the family gets a yes-or-no within a week. A trial that drags into its fourth week is a registration someone forgot to ask for.

4) A waiting list that does not get forgotten

When the U10s are full, the next three families go on a list the office can see, in the order they asked. The day a place opens, the first family gets the message — not the one whose parent happens to be at the pitch.

5) The documents: medical certificate, photo consent

Ask for them once, at registration, and keep them on the athlete's record. The federation card, the medical certificate date and the photo consent are the three questions the academy gets asked every tournament.

After registration: the first subscription the same day

A registered player with no subscription recorded is a balance nobody knows about by November. Record the first month at the desk, send the receipt, and the family starts on the academy's rhythm from day one.
