Quick summary
- Centralize age groups, subscriptions, attendance and parent updates before anything else.
- One monthly subscription per athlete beats per-session accounting.
- Video analysis and scouting tools can wait; the front office cannot.
Football academy management software should do five things before anything else: keep every age group's roster, bill one subscription per athlete per month, take attendance from the coach's phone, tell parents what changed, and register new players without paper. Everything else — video analysis, GPS vests, scouting reports — is a later purchase.
A football academy is not one team. It is eight to fifteen age groups sharing two pitches and one secretary. The software has to think in groups.
1) Age groups and training sessions in one schedule
U6 to U17, two or three sessions a week each, often at different pitches. The schedule is the backbone: the roster, the attendance sheet and the parent's calendar all hang off it. Set the groups by year of birth, assign a coach to each, and the rest of the admin follows.
2) Subscriptions by month, not by session
Per-session accounting breaks the first time it rains. A flat monthly subscription per athlete, with a sibling discount where the academy offers one, is what parents expect and what the secretary can actually keep track of. The system should show who is paid, who is one month behind and who is two.
3) Attendance from the coach's phone
The coach has eleven minutes between groups. Attendance has to be one tap per player at the pitch, not a sheet typed up at home. Two consecutive absences should be visible to the office before the family quietly leaves.
4) Parents informed without phone calls
Rain cancellations, a pitch change, Saturday's match time, the tournament fee: the parent should see it on their own phone the moment it is posted, and it should stay there — WhatsApp groups bury it within an hour.
5) September registrations and trials
One registration link, a QR code on the fence, and a trial that is two sessions long with a clear answer at the end. The academy should know at any moment how many players each group has and how many are waiting.
What you do not need on day one
Video analysis, player tracking, scouting databases and a club website builder are sold to academies constantly. None of them collects a subscription or tells a parent that training is cancelled. Start with the front office; add the rest when the groups are full.
Cyprus and Greece: what changes
Prices in euro, a Greek interface for the parents, Viber and WhatsApp as the channels families already use. Greek academies that invoice through myDATA export a monthly payments report for their accountant; Cypriot academies have no such step.
